SENIOR ADMINISTRATIVE ASSISTANT, Office of Digital Learning (ODL), to provide financial and administrative support for several units within ODL as part of a dynamic administrative team. Responsibilities include:

  • Serving as a key member of the ODL financial team by:
    • Processing financial transactions (e.g., journal vouchers, RFPs, credit cards, invoices, travel reports, etc.)
    • Approving purchases, reviewing monthly accounting statements, reconciling accounts and fixing any discrepancies
    • Supporting the development of budgets and projections, and handling other financial duties as requested
    • Coordinating contracts and purchase orders, tracking invoices and payments 
  • Supporting the ODL marketing and communications and strategic relations managers
    • Maintaining website, executing email campaigns via MailChimp, etc.
    • Copyediting and occasional copywriting, submitting news story to MIT News
    • Creating marketing materials using Adobe InDesign
  • Assisting with meeting preparations, conducting research and composing presentations, agendas,  and written documents
  • Serving as part of the ODL administrative team, including:
    • Developing and executing events and group/committee meetings
    • Arranging travel, coordinating calendars, and performing other duties as needed

Job Requirements: five years of administrative support and accounting or finance experience; strong communication, analytical, and interpersonal skills; excellent organizational skills; and experience and proficiency with PowerPoint, Excel, Word, FileMaker Pro, and Adobe Pro. Seek a flexible, skilled, and proactive individual who is able to work both independently and as part of a team, exercise independent judgment, multitask, set priorities, and meet deadlines in a busy office setting with frequent interruptions. A bachelor’s degree and MIT experience are strongly preferred. Knowledge of MIT financial systems highly desirable, e.g., SAP financial, BrioQuery, and Cognos
