ADMINISTRATIVE ASSISTANT II
ODL is seeking a highly skilled and dedicated individual to join, as a valued member, our Administrative Team.
The AA will provide comprehensive administrative support to 4 ODL teams; anticipate and initiate actions regarding office operations that require strong logistics and communication skills. Will deliver professional representation to internal and external communities and handle all visitor logistics.
The AA will coordinate the daily operations of the working teams with extensive calendar management, meeting and event coordination, travel coordination, and will be working closely with various vendors. The AA will also manage financial transactions on a daily basis; generating journal vouchers, requisitions and purchase orders in SAP, in close collaboration with the Financial Administrators.
Will create, edit and proofread presentations, documents and other ODL materials, in addition to providing basic research and information collection for projects and reports as needed. Liaises with other departments within MIT and external clients, communicating effectively and professional with all levels of the organization and external constituents.
We seek a self-motivated, flexible, and diplomatic team member who can multitask, set and achieve priorities. Must be able to work in a fast-paced environment with changing priorities and limited supervision. Excellent organizational and communication skills, high attention to details, ability to anticipate needs, quickly assume responsibility, and work both independently and as part of a team.
Ability to digest and summarize complex information; Exceptional interpersonal skills, collaborating positively and effectively throughout ODL, MIT and external organizations. Strong ability to exercise independent judgment and discretion.
Professional knowledge of Microsoft Word, Excel, and PowerPoint required; experience with basic accounting processes and advanced computer skills are preferred. An associate’s degree or equivalent and experience required, Bachelor’s degree or higher preferred. 3 years of relevant experience minimum. Knowledge of MIT highly valued.
